Attendiva (“Attendiva”, “we”, “us”, or “our”) respects your privacy and is committed to protecting the information processed through the Attendiva software and website.

This Privacy Policy explains how information is handled when you use Attendiva.

1. About Attendiva

Attendiva is a Windows-based employee attendance and workforce-management software application.

Attendiva allows organizations to manage functions such as:

• Employee information;

• Attendance;

• Check-in and check-out records;

• Shifts;

• Leave;

• Overtime;

• Employee ID cards;

• Pay slips; and

• Attendance reports.

2. Local Data Processing

Attendiva is designed to store and process customer-entered employee and attendance information locally on the customer's computer.

Attendiva does not operate a central server for storing customer employee or attendance data.

Employee information, attendance records, photographs, reports, pay-slip information, and other data entered into Attendiva remain on the customer's computer unless the customer independently exports, copies, transfers, backs up, or otherwise shares that information.

Attendiva does not automatically upload customer employee or attendance data to an Attendiva server.

3. Information Stored by Attendiva

Depending on the features used by the customer, Attendiva may store locally on the customer's computer information such as:

• Employee name;

• Employee ID;

• Department and designation;

• Contact information;

• Joining date;

• Employee photograph;

• Attendance records;

• Check-in and check-out times;

• Shift information;

• Leave records;

• Overtime records;

• Employee ID-card information;

• Salary and pay-slip information;

• Attendance reports; and

• Other information entered by the authorized administrator.

The organization using Attendiva determines what information is entered into the software.

4. No Central Employee Database

Attendiva does not maintain a central database containing customer employee information.

We do not routinely receive, collect, or store your organization's employee attendance database on our servers.

This means that your organization's employee and attendance information remains under the control of the organization using the software.

5. Customer Responsibility

Because Attendiva stores customer information locally, the customer organization is primarily responsible for protecting that information.

Customers should:

• Restrict access to the computer on which Attendiva is installed;

• Use strong administrator passwords;

• Prevent unauthorized persons from accessing Attendiva;

• Secure exported reports and files;

• Protect backups;

• Keep Windows and security software updated;

• Delete information when it is no longer required; and

• Follow applicable privacy, employment, and data-protection requirements.

The organization using Attendiva is responsible for informing employees about the collection and use of their personal information and obtaining any consent or other lawful basis required by applicable law.

6. Attendiva Administrator Access

Attendiva is designed for use by authorized administrators.

Employee users do not need direct access to the Attendiva administration system unless the organization specifically provides such access.

Customers are responsible for maintaining the confidentiality of administrator credentials.

7. Licence and Device Information

Although customer employee data is stored locally, Attendiva may process limited technical information necessary to activate and protect the software licence.

This may include:

• Licence key;

• Licence type;

• Activation date;

• Expiry date;

• Customer name; and

• A hardware/device identifier used to bind the licence to the authorized computer.

Attendiva may use the Windows Machine GUID or another appropriate device identifier for hardware-bound licence verification.

This information is used for purposes such as:

• Licence activation;

• Licence validation;

• Preventing unauthorized copying or use;

• Detecting licence tampering; and

• Managing subscription validity.

8. No Sale of Employee Data

Attendiva does not sell customer employee information or attendance data.

Because employee and attendance information is stored locally on the customer's computer, Attendiva does not use such information for advertising or unrelated marketing purposes.

9. Payment Information

When you purchase an Attendiva licence, payment may be processed through a third-party payment provider.

Attendiva may receive limited transaction information necessary to confirm the purchase, such as:

• Transaction reference;

• Payment status;

• Amount paid;

• Date of transaction; and

• Customer information associated with the transaction.

Attendiva does not require or intentionally store your complete credit/debit card number, CVV, UPI PIN, or banking password.

Payment information is handled by the applicable payment provider according to its own privacy policy and security practices.

10. Website Information

The Attendiva website may collect limited technical information necessary for website operation, security, analytics, or performance.

Depending on the services used by the website, this may include:

• IP address;

• Browser type;

• Device type;

• Operating system;

• Pages visited; and

• Basic technical information.

This website information is separate from the employee and attendance database stored locally in the Attendiva application.

Because customer data is stored locally, the customer organization is responsible for securing its computer, Windows user accounts, Attendiva administrator credentials, database files, exported reports, and backups.

14. Data Retention and Deletion

Attendiva does not determine how long an organization retains its employee or attendance information.

Customer data stored locally can be retained or deleted by the organization according to its business requirements and applicable laws.

Customers should establish appropriate retention and deletion procedures for employee information.

15. Employee Privacy Rights

Employees whose information is entered into Attendiva may have privacy rights under applicable law, including rights relating to access, correction, deletion, consent, or other applicable data-protection rights.

Requests relating to employee records should generally be directed to the organization or employer that collected and controls the information.

Attendiva provides the software used to manage the information but does not determine the organization's employment or attendance policies.

16. Children's Information

Attendiva is intended primarily for organizations and workplace use and is not designed specifically for children.

Customers should not intentionally enter children's personal information into Attendiva unless they have an appropriate lawful basis and comply with applicable requirements.

17. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes to Attendiva, our website, services, technology, or applicable laws.

The updated version will be published on the Attendiva website with a revised effective date.
